Purpose
The Administration / Finance Officer will be responsible for ensuring the efficient, smooth running of the Service Centre in Mandrehe, to Federation standards, in areas of administration, HR and finance and support the program as required.
Key tasks and responsibilities
1. Carry out HR duties, under guidance from Nias HR Unit in support of Federation staff, including collection, monitoring and approval of time sheets, annual leave, R&R, sick leave, health insurance claims, provide advice on contracts and maintain records, including personal files, as required.
2. Ensure adequate stocks of stationery and other supplies, timely advice to logistics on monthly replenishment needs and distribution of stocks in the field.
3. Preparation of working advance requests, timely payment of invoices & petty cash, accurate presentation of expenditure and reconciliation with Nias Finance Unit as required, advice to staff on Federation procedures.
4. Responsible to handling and disburse the Working Advance of Mandrehe Project Office
5. Manage guest accommodation – make bookings, welcome guests, liaison with cleaners, record and report usage for invoicing, when required.
6. Receive information on movement of RCRC personnel and communicate with Admin Unit of Welcome, vehicle dispatchers, radio room as required.
7. Maintain good communications with Gunungsitoli Office regarding Service Centre services and RCRC information generally and report to HoO or Watsan Delegate on issues as appropriate.
8. Maintain and record inventories for Service Centre offices & accommodation, as required.
9. Responsible for the daily requisition of the Project
10. Provide translation and interpretation services when required.
11. Run maintenance tasks for Mandrehe offices & accommodation and report to the line when necessary repair needed.
12. Maintain Federation administration filing systems as required.
13. Supervise cleaners and ensure quality control.
14. Responsible for any expenses of office such as electricity, telephone bill, water bill (if any), and other related office / accommodation expenses
15. Other duties as assigned

University degree or certificate in relevant discipline
Experience
Relevant experience in administration and finance
Experience in Federation administration & finance procedures & systems
Experience in managing and supporting staff
Experience in working in international organisation in operational context
Skills/knowledge
Self-supporting in computers (Windows, spreadsheets, word-processing)
Languages : English fluent spoken and written , Bahasa Indonesia
Good communication skills
Ability to work independently and under pressure
