Johanniter Unfall Hilfe (JUH) was founded in 1952 in Germany. The statutory tasks include among others: First Aid and medical services, rescue and ambulance services, post emergency follow-up care and overseas humanitarian aid. Johanniter first came to Indonesia after the tsunami, in January 2005, in order to assist the victims of the tsunami in Aceh and the earthquake in Nias.
Johanniter is now looking for an administrative assistant for its First Aid Training (FAT) Project Office in Banda Aceh. The administrative assistant will assist the Project Coordinator to maintain the overall running of the office. This is a part-time position. The administrative assistant will be responsible to FAT Project Coordinator.
Responsibilities:
Ensure effective and efficient administration and management of FAT Project office
Conduct routine secretarial duties, such as typing, scheduling meetings, assisting JUH team member’s travel arrangement in Aceh, etc.
Maintain and record files and official documents related to FAT Project.
Manage and report the petty cash expenses
Assist JUH-FAT trainers to document monthly training schedules and report the actual courses and participant’s numbers to Project Coordinator.
Document the inventory status of first aid training equipment and logistics and report it monthly to FAT Project Coordinator
Communicate with FAT organization partners (NGOs, education institutions, government officials, etc.) on program related matters (such as confirming the readiness of the training courses, confirming the transfer of fund support to clients, etc.).
Maintain regular communication with all FAT trainers, consultants and other JUH members.
Organize management and staff meeting
Provide verbal/written translation of documents and letters as requested.
Support all Johanniter staff on duty in the field
Supervise the Maintenance, Cleaner and Driver.
Perform other duties that are assigned by JUH for the success of JUH project implementation in Indonesia
Qualifications:
Minimum to have Diploma degree in Administration and/or minimum 2 years of professional experience in administration and financial management, preferably in the field of development.
Literate in computer (MS Word, Excell, Power Point, Email)
Previous experience with international organization would be an advantage
Proficiency in Bahasa Indonesia and English. Able to speak Acehnese will be advantage
Excellent written and verbal communication skills
