HR ADMIN CONTRACT

JOB SUMMARY:
Under the direction of HR Officer Admin, responsible for assisting HR Admin functions in areas of employment contract administration: processing, monitoring and reviewing contractual status of all staff.

RESPONSIBILITIES:
· Maintaining and regularly update employee contract history database
· Prepare & finalize all contract for employee.
· Liaise with Managers or Unit Head in relation with employment contract request
· Issuing contract for new staff, contract extension and renewal and amendments where relevant
· Assist in ensuring that all supporting do cuments for contract are accurate and complete
· Sent reminder to Managers or Unit Head in contract expiry
· Monitoring the contractual status and distribute to all department and field offices
· Prepare temporary duty assignment and transfer staff
· Preparing a complete and accurate monthly report of contract issued and status of each contract for payroll purpose.
· Any other tasks that may reasonably requested by supervisor.


QUALIFICATIONS:
· University Degree in a related field
· 2 to 5 years experience in a similar position, preferably in INGO
· Knowledge in Indonesian Labor Law
· Ability to complete given assignments accurately with minimum supervision.
· Ability to deal patiently and tactfully with staff members.
· High sense of personal integrity, discretion, initiative and judgment.
· Excellent in English and Bahasa Indonesia (written and oral communication)
· Advanced computer skills in MS Word and Excel

DATA ENTRY OPERATOR

JOB SUMMARY:
Data Entry Operator, providing support to HR Officer in HRIS implementation. Data Entry Operator is responsible for preparing; entering data and information to HRIS system ensure the data is complete and accurate.

RESPONSIBILITIES:
· Managing and gather all necessary master data related to HRIS.
· Check, edit and compile different type of personnel data and confirm with HR Assistant, or HR Representative in Field Offices if required,
· Entering data to the system,
· Assist HR Officer to arrange meeting with HR team and HRIS vendor when required
· Preparing minutes of meeting related to HRIS implementation projects
· Prepare simple data entry progress report.
· Analyze and provide suggestion and necessary action need to increase HRIS system performance.
· Assist HR Officer to establish HRIS project documentation.
· Other tasks as requested

QUALIFICATIONS:
· Diploma in administration, secretary, management information preferable
· Knowledge and experience with database programs/software
· Computer skills in Ms Office and database application
· Good understanding in English
· Good typing skills and accurate
· Ability to work with a team and minimum supervision

CARE Indonesia – Jakarta, is currently recruiting for the following position:

DONOR REPORTING AND CONTRACTS COMPLIANCE OFFICER

JOB SUMMARY:
The position is responsible for three key functions: serving as focal person for compilation and subsequent dissemination of donor regulations to ensure compliance, preparing financial expenditure reports for projects and programs, providing budgeting supports to projects and programs.

RESPONSIBILITIES:
· Search and compile donor regulations, and maintain donor regulation database;
· Prepare donor regulation tool kits for every major donor;
· Design and deliver training on contracts compliance to staff and project personnel;
· Liaise with program unit and other support units in matters related to contracts compliance; This includes proactively notifying relevant CARE staff of changes in donor regulation;
· Provide inputs in the development of guidelines for compliance;
· Prepare monthly financial expenditure reports for projects and programs (budgets versus actuals), analyze the reports and highlight risk areas to CARE’s Management.
· Communicate, clearly and concisely, with relevant project personnel and donors in order to deliver the reports according to donor requirements.
· Obtain feedback from project personnel in respect of the reports and put through any corrections or adjustments, if justified, on a timely basis.
· Liaise with CI Members on issues or questions related to the financial expenditure reports;
· Conduct review on financial expenditure reports prepared by other staff or by the Aceh Tsunami Program, and prepare ad hoc special reports as assigned by the Supervisor.
· Support the preparation of new project budgets together with Program personnel. In this relation, ensure that all necessary direct costs and reasonable contribution to shared costs at various levels are included in the budget. This may also involve linking the CO standard budget format (BudgetMate) with donor-specific budget format.
· Conduct research on unit costs and budget variables to ensure that all budget parameters used in budgeting exercises are realistic and current.
· Coordinate the preparation and execution of IPIAs with CI Members as well as contracts with Donors;
· Outline all undertakings set forth in the IPIAs and Donor Contracts and inform relevant officers and units of expected deliverables and deadlines

QUALIFICATIONS:
· University Graduate (Sarjana) in Accounting from a reputable university;
· Minimum of four (4) years of working experience in accounting and/or audit;
· High level ability to read, speak, and write in English;
· High level ability to work with Microsoft excel;
· Ability to work under pressure and meet the deadline
· Good Teamwork and Collaboration
