The Position
The Programme
Assistant will work under the direct supervision of the Deputy Directorand the overall
management of the Director of ILO Jakarta. The incumbent shall work
closely with relevant staff in the ILO Jakarta office on all programmes,
operational and financial aspects of the office operation.
Duties:
The
tasks and duties of the Programme Assistant will include but not be limited to
1. Collect data and other information
on development and/or subject matter activities of the area and maintain
relevant programme and technical cooperation
information
systems and databases, and prepare background information.
2. Maintain and update databases and
records on programming activities for programme monitoring and evaluation
purposes.
3. Process and examine project budget information and data in
accordance with
instructions,
and make necessary abstracts and computations.
4. Summarize information reflecting current obligations and
future programme and
budgetary
implications.
5. Maintain and keep registers and control plans on the status
of programmes and
projects
at formulation, implementation and operational stages.
6. Verify the conformance of project terms of reference with work
plans and set
objectives.
7. Prepare background material, working papers and tables for
briefing and review
sessions.
8. Participate in the briefing of project and other programme
related activities.
9. Review plans of operations and other
project related documents and take appropriate follow up action.
10. Carry out specific administrative
operational/ control tasks for project and programme activities.
11. Draft non-substantive correspondence on projects and programme
activities.
12. Perform other related duties as required.
Education
Completion of secondary school education, supplemented by technical or
university level courses in relevant subjects.
Experience
Five years of related
programming and administrative work and/or office experience, including record
keeping and processing of information.
Competencies:
* Good knowledge of rules and procedures related to the various components of the project and programme area. and good administrative skills to provide programming support,
* Good knowledge of the office¢s operations
* ability to communicate effectively both orally and in writing;
* ability to clarify information;
* good computer applications skills;
* ability to work on own initiative as well as a member of a team;
* ability to deal with people with tact and diplomacy and gender sensitive
* Actively seeking relevant knowledge within and outside the organization to build on as well as share experience and expertise in a pro-active manner
* Demonstrate a high level of commitment and responsibility towards completing assignments efficiently, accurately and in a timely manner; and
* demonstrate honesty and integrity and display high standards of ethical conduct.
Remuneration
General Services level 5 of the UN common remuneration
system and/or commensurate with the qualifications and competency of the
selected candidate.
Written
Examination and Interview
Prospective candidates may be required to sit a written
examination and take part in an interview.
