Vacancy ICMC - Program Support Assistant

VACANCY ANNOUNCEMENT

The International Catholic Migration Commission (ICMC) is a Geneva-based international humanitarian organization specializing in services to refugees, returnees, the displaced, and migrants is looking for candidates for the post of:

Title : Program Support Assistant – Combating
trafficking and debt bondage of Indonesian
migrants in South East Asia
Classification : Local Hire
Location : Makassar
Reports to : Deputy Programme Manager
Start Date : As soon as possible


Background:

ICMC has recently signed an agreement with the European Community (EC) to develop a replicable model of cross-border collaboration, between Indonesia and Malaysia with a view to combat trafficking and debt-bondage of Indonesian migrant workers in Malaysia. This project will be implemented in six Indonesian provinces along the so-called eastern trafficking route to Malaysia, namely East and West Nusa Tenggara, East Java, North Sulawesi, South Sulawesi and East Kalimantan as well as six municipalities in the Malaysian state of Sabah which are the primary destinations for migrant workers from Indonesia.

Primary Responsibilities:

To provide general administrative and logistical support to the project and staff of ICMC’s counter trafficking projects in Eastern Indonesia. The Program Support Assistant will provide assistance to the Deputy Program Manager and Program Officers as needed to ensure the smooth functioning of the project.

Programmatic Tasks:

· Prepare budget for workshops and trainings;
· Maintain contacts with government officials in relation to program development;
· Represent the Eastern Indonesia Counter-trafficking Programme in meetings and workshops conducted by partners or other institutions;
· Coordinate and negotiate with potential sub-grantees in preparing budgets for program activities to be funded by ICMC;
· Maintain grants of local partners and giving financial training when needed;
· Assist with logistics for training programs including arranging venues, refreshments, and meeting rooms, hotel accommodation, translation and interpretation services, and air or ground transportation for participants and staff.





Other Tasks:

· Provide translation and interpretation services as needed;
· Make copies, send faxes, answer phones, organize and maintain project files;
· Make travel arrangements, including arranging air or ground transportation, hotel and calculation of per diem for project staff.
· Procure office equipment, furniture, computers, and office supplies in accordance with project regulations and requirements;
· Assist ICMC’s general administration when needed.

Qualifications
o University degree (S-1) preferably in English, Accounting, Communication, Computer or Management / Secretarial diploma;
o Two years relevant work experience;
o Fluency in English and Bahasa Indonesian;
o Excellent Communication Skills;
o Capable of discreet work with a large amount of confidential information;
o Computer literacy and familiar with internet application;
o Mature, self motivated and able to work with a team and independently
