CARE INDONESIA – Jakarta, is currently recruiting for the position below:
GOVERNMENT OF INDONESIA LIAISON ADMIN ASSISTANT

Primary Function:
To provide secretarial, administration, and technical support services related to visa, working permit and reporting for expatriates and duty free process to the GOI Liaison sectors

RESPONSIBILITIES:
· Prepare general correspondence, fax, reports and memos as requested for telex visa and reentry permit visa.
· Prepare invitation letters to be signed by the PL GOIL required for expatriates visitors planned to visit Indonesia by taking into consideration also all related rules, laws and regulations
· Prepare and arrange interview for expatriates on their first period working with CIIHQ
· Assist in preparing and finalizing the note of interviews for expatriates for further submission to the related GOI


· Prepare general correspondence and its supporting documents for colleting Visa dinas
· Managing and preparing necessary documents and letters of reporting for expatriates to the related Police office, Ministry of Manpower and the Civil Registration Office
· Managing and preparing required documents for processing duty free for non food item including vehicles
· Assist in preparing International Driving License for expatriates working in Jakarta
· Maintain relations with GOI ministries of Setneg, Home Affairs, BIN, BAIS TNI and Provincial Bappeda related to expatriates working permits
· Collected and maintain rules, laws and regulation regarding visas from the related ministries and keep updating the Program Leader for any changing and/or release of the latest versions
· Develop and maintain files for each expatriates and keep updating the history
· Keep tracking and further reminding the Program Leader about the due dates and extension of individual visas
· Managing and applying visas as required for CII staff visiting out country(ies)
· Assist the SGS CARE International Indonesia in
Ø Arrange airline and hotel reservations for staff and visitors as well as monitoring travel schedules for WGGGL sectors
Ø Arrange appointments and meetings as well as monitor appointments schedules
Ø Prepare filling for GOI Liaison documentation
Ø Conducting administrative works, papers and activities
· Carry out other task and duties required by the supervisor

QUALIFICATIONS:
· Minimum Diploma in Secretary or Administration
· Have a minimum of 4 (four) years experience in handling secretarial and administration related to expatriates working permit
· Ability to communicate in English (both written and spoken)
· Computer literate (MS Word, Excel, and simple data base)
· Ability to work in team and under pressure
· Good interpersonal skills
· Good personal approach
· Attention to details
